Why is this needed?

Sender information is the company details that identify you as the shipper when creating shipments. This includes your company name, address, and contact details that are used when booking shipments with carriers and appear on shipping labels and tracking pages. The sender information you provide is primarily used to:
  • Determine correct booking methods - Different carriers may have specific requirements based on your location and business type
  • Meet carrier requirements - Most carriers require complete sender information during the booking process
  • Display on shipping materials - Your information appears on labels, tracking pages, and customer notifications
Information visibility: The sender information you enter will likely be visible to shipment recipients. This information can appear in:
  • Customer tracking notifications
  • Public tracking pages
  • Shipping labels attached to packages
  • Carrier’s internal systems
Some carriers may use their own registry data for sender information on labels. Check your specific carrier’s documentation for details about how your information appears.

Configure sender address

To set up your sender address:
  1. Login to the Smart Send dashboard at https://app.smartsend.io
  2. Navigate to Sender Address
  3. Fill in the required fields:
    • Country
    • VAT Number - Your business vat number, if an EU based company then this will be prefixed with the country code eg DK32342892
    • Company - Your business name as it should appear on shipments
    • Address line
    • Postal code
    • City
    • Contact person - Name of the person handling shipments (you can use “Warehouse” or similar if preferred)
    • Email address - Email for shipping notifications and communications
  4. Click Save to apply your changes
All fields are required for proper shipment booking. If you prefer not to use a specific person’s name, you can enter generic terms like “Warehouse,” “Shipping Department,” or “Customer Service” in the contact person field.

Customs numbers

For international shipments, you need to provide customs identification numbers that vary by country. These numbers are essential for proper customs clearance and compliance. Example of customs numbers:
  • EORI number - European Union registration and identification number
  • EU VAT number - European Union value-added tax identification number
  • VOEC number - Norwegian VAT on e-commerce number
  • Country-specific numbers - Other national customs and tax identification numbers

Adding customs numbers

To configure customs numbers for international shipping:
  1. Login to the Smart Send dashboard at https://app.smartsend.io
  2. Navigate to Customs
  3. Select the country for which you’re adding a customs number
  4. Enter the customs number in the provided field
  5. Click Add to save the number
You can add multiple customs numbers for different countries. Each number is associated with a specific country and type, allowing you to ship internationally with the correct customs identification.
